Salesforce to HubSpot Sync Repair

Your sync is throwing errors. Nobody owns them.

Salesforce for sales, HubSpot for marketing, and a connector in the middle that everyone has learned to ignore. I find what is breaking, decide with you which system owns what, and fix it so both teams trust the data again.

Sound Familiar?

WHAT I USUALLY FIND

Hundreds of sync errors nobody reads

The connector logs them quietly. Records stop syncing, reps work from stale data, and nobody notices until a report is wrong in front of leadership.

Picklists that mean different things

Lifecycle stage, lead source and disqualification reason have different values in each system, so every sync either fails or overwrites the good value with the wrong one.

Duplicate companies on every sync

Enrichment writes to Salesforce first, the sync comes back, and HubSpot creates a new company instead of matching on domain. Cleanup becomes a quarterly project.

Attribution that dies in transit

UTMs and lead forms from LinkedIn or ads get dropped before the record reaches Salesforce, so sales never sees where the lead came from or what they asked for.

A Real Engagement, Anonymized

THE SYNC NOBODY TRUSTED

A field service software company running Salesforce for sales and HubSpot for marketing. The connector between them was logging 644 custom code errors, with 129 active sync errors touching more than 2,000 records.

Most of it came down to picklists that did not match. Lifecycle stage, lead source and disqualification reason meant different things in each system. I mapped every value both ways and got sign-off on which system owns which field before changing anything.

Underneath that, the enrichment tool was writing to Salesforce first, and the sync was creating a new HubSpot company every time instead of matching on domain. LinkedIn lead forms were dropping UTMs before anything reached Salesforce. I rerouted enrichment through HubSpot first and tagged the offer type on every form so sales could see what the lead actually asked for.

How I Fix It

THE APPROACH

01

Read only first

I pull the error log, field mappings and sync settings without touching anything, and show you what is actually failing and why.

02

Decide who owns what

Every synced field gets one owner system and one set of values. You sign off before a single setting changes.

03

Fix, test, hand back

Mappings, matching rules and enrichment routing fixed in order of damage, tested on real records, documented so your team can keep it clean.
